Set the stain expectation before you arrive
The honest message that prevents the refund request
Ask for a photo of the worst stains at booking, and say plainly what you expect: which will likely go, which will improve, and which are permanent damage rather than dirt. A customer told in advance that a bleach mark will not come out is satisfied. The same customer told afterwards believes you failed.
Photos also let you bring the right chemistry and price the job accurately, which is the same pre-dispatch diagnostic logic as the plumbing photo — cheaper for you, better for them.
Dry time is the message customers actually need
Almost every complaint that is not about stains is about wet carpet: someone walked on it in shoes, put the furniture back too early, or let a dog on it. Send dry-time instructions on completion, in writing, with specifics.
- How many hours until it is walkable, and until furniture can go back.
- Whether to open windows or run a fan, and whether to run the heating.
- That socks are fine and shoes are not.
- Where the protective tabs under furniture legs are and when to remove them.
- That a slight smell while drying is normal and passes.
A door hanger gets thrown away. A message is still there at 8pm when they are deciding whether to move the sofa back.
Upholstery is the easiest add-on you have
You are already in the house with the equipment set up. A sofa quoted while you are standing in front of it, sent as a message with a price, converts at a rate no cold offer will match — and the marginal cost to you is twenty minutes.
The twelve-month message
This is the whole difference between a job and a customer. Most people intend to have their carpets cleaned annually and simply lose track. A message at eleven or twelve months, referencing the rooms you did and anything specific you remember, recovers a large proportion of them.
Time it against the household rather than the calendar where you can — before Christmas for people who host, after winter for households with dogs, at the end of a tenancy for landlords. Same pattern as the seasonal reminder in exterior cleaning, and it works for the same reason.
What to measure
- Jobs where prep was done properly before arrival.
- Complaints about stains, split by whether expectations were set in advance.
- Upholstery attach rate when quoted on site by message.
- Twelve-month reactivation rate — the number that turns this into a real business.
- Landlord and letting-agent repeat work, which is the highest-frequency segment.
