Vehicle service has a structural communication problem: the customer surrenders their car and then loses all visibility into it. The default state is anxiety, and anxiety generates phone calls that your advisors cannot absorb.
Push at every state change
| Event | Message | Effect |
|---|---|---|
| Checked in | Confirmed, with expected completion time | Sets the baseline |
| Diagnosis complete | What we found, with photos | This is the approval message |
| Additional work needed | Photo, price, clear yes/no ask | Approval rate lives here |
| Work complete | Ready for pickup, total, hours | Stops the 'is it ready' calls |
| Picked up | Thanks, plus review ask 60 min later | Reviews at peak goodwill |
Photos are the whole argument
A customer asked to approve $600 of unexpected work over the phone is being asked to trust a stranger's description. The same customer sent a photo of a cracked serpentine belt approves it without a conversation.

Hi Dana — found the noise. Front brake pads are down to about 2mm, photo attached. $340 including labour, and we can do it today. Want us to go ahead?
yikes. yes please do it
On it. Should still be ready by 4.
This is the clearest case in any industry for why blue bubbles beat green ones: the evidence has to be legible, and SMS destroys it.
Sales side: the long follow-up
Vehicle purchase cycles run years, not weeks. That makes messaging a poor fit for nurture and an excellent fit for two specific moments: immediately after an enquiry, and at the point a lease or warranty is expiring.
- Web enquiry: reply within sixty seconds, from a named person, with one question. Same pattern as real estate speed to lead.
- Lease end minus 90 days: a genuine question about what they want next, not a promotion.
- Service customer with an aging vehicle: a trade valuation offer, once, and never again if ignored.
Where dealerships get this wrong
The temptation is to run sales blasts down the service list because the numbers are sitting right there. Consent given for service updates is not consent for sales promotion — that distinction is legally meaningful and not merely polite. See the compliance guide.
The number to watch
Inbound calls per advisor per day. It should fall measurably within a month, and that reclaimed time is the return — before you count any lift in approval rate or reviews.
